Privacy Policy
This notice explains how personal data is handled when you use the BFIndia website, ask about exhibiting or exhibition space, receive BFIndia newsletters, or choose optional website analytics. Processing connected with taking part in an exhibition may be covered by a separate notice.
1. Data controller
The data controller for the website activities described here is BOLOGNAFIERE INDIA PRIVATE LIMITED, S.No 157 PN 22 Aundh Office 14, Soham Complex, D P Road, Pune, Maharashtra 411007, India.

2. Information you provide for exhibition enquiries
The exhibition request form asks for your name, company, business email address and exhibition of interest. You can also provide a product category, the support you need, country, company website, phone or WhatsApp number, and a message. These additional fields are optional. You select whether you want exhibiting information or wish to request exhibition space.
The form also records the page where you arrived, the page and link through which you made the request, a shortened external referring site, and limited campaign information when present. We record when you acknowledged this notice. Without the required fields, we cannot receive your request through the form. A phone number is not required.
3. How exhibition enquiries are used
We use the information to receive, review and answer your professional enquiry and to manage related correspondence. The BFIndia team receives an internal email notification containing the request details.
Submitting an exhibition enquiry does not sign you up for the newsletter. The website does not automatically upload enquiry contacts to advertising audiences.
4. Newsletter
The newsletter is a separate choice based on your explicit consent. When you submit the newsletter form, Supabase forwards your request to EmailOctopus as pending. For a new request, EmailOctopus sends a confirmation email; the subscription becomes active only after you follow its confirmation link. Existing contacts, including those who have unsubscribed, are not automatically resubscribed or sent a new confirmation. This choice does not affect the exhibition request form or your Analytics choice.
For an existing subscription, EmailOctopus maintains the BFIndia newsletter list and delivers campaign messages. To withdraw your newsletter choice, write to the privacy contact in section 1 or use an unsubscribe link provided in a newsletter message. We do not add exhibition enquiry contacts to the newsletter automatically.
5. Optional analytics and browser storage
Analytics is off until you allow it in Cookie preferences. If you allow it, the website loads Google Tag Manager and Google Analytics 4 to measure page views and limited interactions with exhibitions, links and forms. Information entered in forms, such as names, contact details and messages, is not included in the Analytics events sent by the website. Google Analytics may process browser identifiers and technical usage information.
You can withdraw your Analytics choice through Cookie preferences in the footer. This stops new website measurement events and reloads the page if measurement was already loaded. Declining Analytics does not prevent you from sending an exhibition enquiry.
The website stores your Analytics choice and its date in your browser and asks you to choose again after 180 days. For the duration of a browser tab, it also keeps limited page and campaign information so that it can accompany an exhibition request you choose to submit; this works even when Analytics is declined. With Analytics enabled, browser storage may prevent duplicate form-start measurements. These entries do not contain the contact details or message entered in a form. Google Analytics may set cookies, including _ga and _ga_VRJ6SWM2W0. Further details are in the Cookie Policy.
6. Purposes, legal bases and separate choices
For voluntary enquiries from company representatives, we rely on our legitimate interest in responding to professional requests and managing the related correspondence. We limit this use to the enquiry and its follow-up. Where a person asks us to take steps towards a contract with that person, and the information is necessary for those steps, we rely on the pre-contractual legal basis for that specific processing.
Newsletter messages and optional Analytics require separate consent. You may withdraw either choice independently. Acknowledging that you have read this notice when sending an exhibition enquiry is not consent to receive the newsletter or to enable Analytics.
7. Who receives the information
The BFIndia team handles exhibition enquiries. Supabase receives and stores website enquiries and relays newsletter requests when signup is available. The website database project is hosted in Ireland. MailerSend delivers internal enquiry notifications. EmailOctopus maintains the newsletter list and delivers its messages. If you allow Analytics, Google Tag Manager and Google Analytics 4 handle the measurement described above.
The exhibition form does not automatically pass your contact details to EmailOctopus. People authorised to operate these services may have access where needed for the activities described here.
8. Storage and retention
We manually review exhibition enquiries six months after the last documented commercial interaction, or six months after receipt if no later interaction is documented. We delete information that is no longer needed after review. If an enquiry is still active, we record why continued retention is needed and when it will be reviewed again. This is a manual review process, not automatic deletion at six months.
We review completed internal notification information held in the website backend after 30 days. Open delivery errors are reviewed separately. The original enquiry and its message follow the enquiry review rule above. Copies of notification messages may also exist with MailerSend and in recipient mailboxes; these copies, external logs and backups do not necessarily follow the same 30-day period.
Our rule for confirmed newsletter subscriptions is retention until unsubscribe, with an annual review of the list. We keep only the minimum evidence needed to document a choice or unsubscribe and do not use that evidence for further campaigns. Analytics and browser storage have separate controls described in section 5 and the Cookie Policy.
9. Your rights and choices
Subject to applicable law, you may request access to your personal data, correction or erasure, restriction of processing, or portability where the conditions apply. You may object where the law gives you that right, including to processing based on legitimate interests. You may withdraw newsletter or Analytics consent at any time without affecting processing carried out before withdrawal.
Write to marketing@bolognafiereindia.com or to the controller at the postal address in section 1. Where a newsletter message provides an unsubscribe link, you can use it. You can change Analytics through Cookie preferences in the footer. You may lodge a complaint with a competent data protection supervisory authority where applicable.
10. Automated decisions
The website activities described in this notice are not used to make decisions about you based solely on automated processing that produce legal or similarly significant effects.
